Professional Services: When Your AR Is Your Biggest Asset (and Risk)

Ben Schwartz May 16, 2026

If you run a professional services practice — law firm, dental practice, medical group, accounting firm, consultancy — accounts receivable isn't a line item. It is your business.

Every dollar of AR is work you've already done that hasn't yet been paid for. Every aging day is risk. Every write-off is pure margin loss because the cost was already incurred.

Most professional services practices manage AR with the same casual attention they give to office supplies. That's the mistake.

The bookkeeping issues that hurt professional services practices:

  • Production vs. collection isn't separated. In dental and medical especially, you produced a number this month — but what you collected is what funds the business. Operators who only watch production don't see collection problems until cash gets tight.
  • AR aging by payer category isn't tracked. Insurance, Medicare/Medicaid, self-pay, and corporate accounts age very differently and have very different collection profiles. Without segmenting, you can't see where collection is breaking down.
  • Trust and escrow accounting (for legal practices) is high-risk. IOLTA accounts have specific bookkeeping and reconciliation requirements. Errors aren't just a financial problem — they're a bar complaint problem.
  • Provider productivity isn't measured. Revenue per associate, per dentist, per provider tells you whether your hiring and compensation models are working. If your books don't isolate provider-level production, you can't manage it.
  • Working capital management is reactive. Long collection cycles in professional services mean cash needs are predictable but only if you forecast them. Most practices manage cash by checking the bank balance, which works until it doesn't.

What it costs: write-offs that should have been collected, working capital crunches that didn't have to happen, compliance issues for regulated practices, and a business that's worth less than it should be at sale.

We help professional services practices build the bookkeeping and AR discipline that turns receivables back into revenue.
